Warehouse Manager

The Job

Management

  •  Ensure effective control by managing a combination of MSA staff and contract workers who will be working on a 24/7 four shift system.
  • Ensure warehouse staff are always delivering on expectations.
  • Develop staff through internal and external training to ensure personnel are delivering the best of the capabilities.
  • Safeguard the warehouse operations and contents by monitoring security procedures and protocols.
  • Manage and account for all receipts and despatches and communicate this effectively with the finance department.
  •  Ensure warehouse staff participate in stock takes.
  • Ensure involvement in all onsite projects.

Finance

  • Market the warehousing service and achieve the monthly gross margin targets set to deliver against the annual budget expectations.
  • Assist in the effective financial management of the warehouse and contribute to the same for the greater company.
  • Manage and develop the budgets and P&L of the warehouse department.
  • Ensure full adherence to the MSA procurement policy.
  • Ensure accurate invoicing for 3PL.

Stock Rotation & Space Utilisation

  • Continually maximize space utilization through effective stock rotation and stacking and storage principles. Where possible improve on the current standards.
  • Ensure random checks and report aging stock to commercial and management to ensure FIFO guidelines are applied.
  • Assist the inventory team on correct stock rotation to ensure there is 100% stock reporting.
  • Planning, coordinating, monitoring and managing the movement of all incoming/outgoing goods.
  • Active planning and forecasting on warehouse space and resources in line with shipments and deliveries, ensuring that unplanned space requirements are managed and mitigated before occurrence.
  • Plan and conduct the stock counts as per MSA guidelines.
  • Optimise metric tons per sqm.

Operational Requirements

  • Ensure continuous improvement within the operation, ensuring that the operation always runs as efficient as possible to remain as cost effective as possible.
  • Continuously target the reduction of operating costs.
  • Ensure proper planning and engagement of staff and contract labour to meet operational requirements.
  • Ensure vessel discharge/ loading requirements are met in line with vessel pre plan meetings.
  • Control and ensure adherence to all systems and processes.
  • Manage all SOPs and Work Instructions for all warehouse activities in line with SHERQ Department requirements.

SHERQ

  • To manage and drive the QMS and ensure all incidents, accidents and non-conformances are reported and closed out per the SHERQ NCR process.
  • Always maintaining SHERQ standards and record keeping (evidence of), inspection checklists, toolbox training, correct PPE and warehouse inductions as necessary
  • Work closely with the SHERQ Department to ensure all processes and procedures are accurately followed.
  • Ensure HSE is being complied to and maintained daily and delivering excellent housekeeping practices.
  • Always ensure that the warehouse is safely locked down and safekeeping of assets within when there is no operational activity.

Reporting

  • Conduct WMS variance analysis, investigate variances and prepare variance reporting/evidence as well as counter measures to be via our QMS.
  • Evaluate and analyze returns to highlight deficiencies/deviations affecting the Warehouse operations and include this in the monthly report.
  • Ensure daily production updates are communicated and provide monthly operational reports to management.

Damaged/ Expired Goods

  • Ensure that the cargo is always protected in the warehouse through means of safe stacking, correct equipment, relevant packaging resources, competent operators etc.

Your Profile

Formal Schooling/Degree: 

Matric. 

  • A completed Tertiary degree/diploma in Logistics and/or relevant tertiary education. 

Experience:

  • Minimum of 5 years’ management experience in a similar environment.
  • Medium/Large warehouse operations experience. 

Skills: 

  • Good Financial, mathematical, and analytical skill sets.
  • Excellent knowledge of handling dry bulk, breakbulk and palletised commodities required. 
  • Excellent leadership and development skills to assist in the developing of staff to promote a succession plan across all levels.
  • Advanced knowledge of Microsoft Office. 
  • Willingness to lead by example and when/where necessary get involved at floor level to ensure delivery at the correct standard and/or method.
  • Sound knowledge and experience to engage with customers and suppliers on all levels. 
  • Excellent knowledge of running warehouses and managing high level of stock rotation.
  • Profit and Loss management experience including budgeting in department.
