At Manuchar, our Admin team are energetic and always ready to take on a new challenge. This position is ideal for someone who able to complete generic administrative duties, assist with procurement, manage office supplies and general housekeeping.
The Job
General Duties
- Ensure reporting for duty on time and to notify the manager of any late coming or absence prior or during your shift.
- Ensure good housekeeping practices is maintained in your area of responsibility.
- Work closely with cleaning staff to make sure that your area of responsibility is always kept clean and presentable.
- Managing of all office and warehouse supplies by ensuring stationery and cleaning consumables are locked away and issuing of items are controlled and recorded. Regular stock takes to be conducted.
- Be Instrumental in cost saving for the company.
- Provide backup assistance to Stock Controller to cover breaks and leave periods.
- Reduce accruals by receipting to ensure all costs are in the correct fiscal period.
- Responsible for placing orders through the approved Purchase Order requisition.
- Validate goods received, sign and send proof of delivery to procurement for processing.
Assisting Stock Controllers
- Assist Stock Controllers with the following:
Assist with receiving of deliveries by printing the warehouse shipment documents/ releases. - Validating releases and processing Delivery Notes / IBTs accurately.
- Capturing of all intake schedules and unpack reports.
- Monitor stock aging and conduct FIFO control on a weekly basis.
- Re-bagging requests.
- Opening of files on the Manuchar ERP system.
- Capturing daily Production and Through-Put data.
- Capturing of intake schedules and record of received tally sheets.
- Updating stock reports – receipts and dispatches.
- Preparation of Import and Export documentation/s ie: packing list
- Completing and sending of unpack reports within 24hours on receipt of stock.
Assist with Stock Counts by:
- Providing daily stock update reports to Warehouse Manager.
- Conducting daily cycle counts based on locations.
- Ensure that the physical stock matches the MCR report.
Assist with Customer Communication by:
- Ensure communication with both internal and external customers are done timeously and professionally.
- Always attend to customers or visitors professionally.
- Receive warehouse shipment instructions from Commercial and must ensure that the instructions are followed according to the release.
Sales Orders
- Assist in the Creation of Warehouse invoices for services provided daily.
- Ensure that the correct business case and cost centres are used on the invoice and that the rates are correctly applied.
- Ensure that Invoices are validated by warehouse Supervisor/ Manager and then batched with delivery notes / supporting schedules.
- Posted invoices to be sent to customers with supporting documentation.
Documentation
- Ensure that all documents are filed in accordance with the requirement of Internal Audit.
- Check all documents have correct customer details.
- Assisting warehouse manager in securing documentation (archiving/ discarding of old documents).
Your Profile
Formal Schooling/Degree Minimum:
- Matric Certificate
Experience:
- 1 – 2 years similar experience
Skills:
- Analytical, accuracy and attention to detail are important skills sets.
- Computer Literacy, must be comfortable working with spreadsheets – Excel experience required (must be able to do basic formulas)
- Prompt and responsive in an efficient manner – Time Management skills.
- Good communication skills must convey information effectively to other departments.
- Listening skills, must also pay attention to instructions given.
